People’s Congregational Church seeks an onsite Church Office Coordinator (24 hours/week) to manage internal and external communications (digital and print), carry out marketing and promotion of church events, provide administrative support, and function as receptionist. This person will work closely with the pastor, other personnel, and volunteers. A high level of interaction within the church community and in the broader external community requires professionalism, strong written and oral communication skills, flexibility, efficiency, and openness to working within a progressive Christian context.
Responsibilities and Duties
• Manage internal and external communications
– Produce weekly e-newsletter
– Prepare weekly worship bulletin
– Update content on church website
– Maintain social media presence
• Carry out marketing and promotion of events
– Create event flyers
– Forward flyers to partner organizations
– Respond to general email inquiries
• Provide administrative support
– Write checks
– Maintain church records and files and electronic calendar
– Maintain electronic calendar and schedule of Sunday volunteers
– Order supplies
• Function as receptionist
– Answer the phone
– Greet and assist visitors
– Manage outgoing and incoming mail and packages
Employment Details
• Part-time (24 hours/week), Tuesday-Thursday (with an option of Friday mornings)
• Exempt (salaried) position
• Paid vacation time (2 weeks/year)
• Reports directly to the Pastor (overseen by the Personnel Committee)
Position Qualifications
• High School diploma or GED
• Education or training in office management (preferably with 2+ years of pertinent experience)
• Effective written and oral communication skills (clarity, accuracy, professionalism)
• Prioritizes tasks, manages time, attends to details, navigates interruptions, follows through according to deadlines
• Has experience with (or capacity to learn) the following software:
– Microsoft Suite (Word, Excel, PowerPoint, Publisher)
– Canva
– MailChimp
– website update tool Beaver Builder
– social media channels including Facebook, NextDoor, Instagram
• Processes information efficiently (swiftly and accurately)
• Demonstrates excellent problem-solving skills (receive a request, understand the need, gather data, respond or forward to an appropriate person for response)
• Adapts in response to changing situations
• Works collaboratively with pastor and other church personnel and volunteers
• Maintains confidentiality
• Demonstrates flexibility and empathy in working with a variety of people
• Openness to employment within a progressive Christian context (core values: music & the arts, care & nurture of the natural environment, inclusivity in terms of human diversity)
Basic Physical Requirements*
• Clear vocal speech and hearing
• Able to operate office equipment (computer, copier/printer, filing cabinets)
• Frequent sitting, standing, and walking
• Frequent repetitive arm/wrist/finger movements
• Frequent simple grasp
• Occasional stair climbing
• Occasional lifting, stooping and carrying supplies (up to 40 pounds on rare occasion)
• Occasional twisting/pivoting
